Clinical Operations Manager Report To:
Clinical Director / Physicians Purpose:
Assists the Clinical Director in overseeing the daily operations of all clinical functions and serves as the liaison between the departments of the organization to ensure that there is a working knowledge of both the clinical aspect as well as business aspect of the practice.
The manager is responsible for assisting the Clinical Director in developing and implementing clinical policies and procedures.
He or she writes and maintains compliance guidelines and protocol according to State and Federal requirements as well as Practice adopted policies and procedures and ensures that all staff are trained in these guidelines and procedures.
The Clinical Operations Manager serves as the OSHA Officer for the practice and ensures that all staff receive and maintain the required education to keep the practice within compliance requirements.
The Manager is responsible for the oversight of orientation material and of training all new clinical staff and ensures that current staff are educated on any new policies or procedures that affect the practice.
In coordination with Directors of various Departments conducts monthly meetings with Team Leads and clinical staff to help further the working knowledge of procedures of the practice.
Clinical Operations Manager is also overseeing daily function and managing the Pelvic Floor therapy program.
Responsibilities:
Performs all Nurse duties in accordance to established policies, procedures, and guidelines.
In Coordination with Clinical Director, Physicians, and HR; is responsible for managing all Team Leads.
Helps define duties of clinical staff, is involved with employee counselling when there is violation of clinical policy.
Trains staff on clinical procedures and guidelines and is available to answer clinically related questions.
Oversees the clinical day-to-day operations of the practice and the doctor pods with the help of the Team Leads.
Oversees daily function and management of the PFT program and its staff and equipment.
Assist Physicians with operational issues and implement solutions.
Assist Team Leads with staff attendance, record keeping, emergency absences, and employee issues when the Team Lead is out.
Act as a mediator for conflict between clinical staff.
Serves as a subject matter expert to the department.
Develops and monitors operational manuals ensuring protocols are up to date in conjunction with the Practice.
Ensures compliance with all applicable industry, federal and organizational guidelines, protocols, policies, and procedures.
Maintains OSHA, BLS, and Flu policy compliance and Staff training.
Develops and implements processes and training sessions, leads, and motivates staff, ensures thorough/effective dissemination of information, and maintains open lines of communication with employees.
Provides timely and tailored training, feedback, and constructive criticism to improve and expand upon Team Leads' technique and knowledge; manages the performance appraisal process of employees by maintaining notes on individual employees throughout the year and constructing fair, effective, unbiased, and factual performance comments.
Serves as a liaison between the departments within the organization.
Assists Physicians as needed.
Takes appropriate action for medical and non-medical emergencies occurring within the office as part of the rapid response team.
Coordinates and facilitates staff meetings and practice meetings, participates in Director Meetings and Board Meetings when required.

Skills, Education, &
Experience:
Minimum 3-5 years of professional supervisory experience, OB/GYN experience is preferred.
Minimum of 3-5 years of medical practice operations experience preferred.
Prefer knowledge of Athena software, Microsoft Office, and Ring Central.
Knowledge of OSHA and common safety hazards and precautions to establish and maintain a safe work environment.
Possesses a high degree of personal integrity and professionalism.
Excellent communications skills (written and verbal).
Must have basic computer knowledge.
Must be able to work a flexible schedule.
Physical/Mental Abilities:
Ability to maintain quality control standards.
Ability to handle high patient volume.
Ability to react calmly and effectively in emergency situations.
Ability to work well in a team environment.
Must be able to stand for long periods of time and perform other physical demands including walking, reaching, bending, and lifting.
Ability to lift up to 50 lbs.
