Under limited direction, performs advanced accounting and administrative support functions.
This position is responsible for the coordination and quality of work produced by other coordinator staff.
Work is performed with considerable latitude for use of initiative, independent judgement and primarily involves confidential and sensitive correspondence and communication.
Serves as the Project Accounting Coordinator for the local business management staff and works with Business Managers and staff in supporting policies, goals and objectives established by the Chief Operating Officer and the Board of Directors.
Carries out all Raba Kistner's policies and procedures, implements and maintains effective communication and working relationships with other departments.
Generates project reports from the Accounting software, download into Excel and format according to internal procedures, in order to facilitate weekly project reconciliation and monthly invoicing.
Provide travel arrangements for personnel and process expense reports into accounting software.
Receives, codes and processes vendor invoices for overhead accounts and for project specific into the accounting software.
Orders office and/or field supplies and compiles invoices for clients.
Reconcile Accounts Payables and Accounts Receivables internally and externally with vendors, clients, or third-party websites.
Under general direction, reviews financial spreadsheets that are project related and maintains files, documents and workflows of confidential information.
Perform clerical duties such as generating reports, correspondences, reports, etc.
in a neat and professional manner, which includes but is not limited to proofing for grammatical correctness, free of typing and spelling errors and ensuring compliance with company formats.
Under limited supervision, interact with internal/external clients to establish subcontracts, procurement of services and perform daily, weekly and monthly reporting and invoicing to facilitate department and project financial goals.
Maybe required to facilitate and take notes in meetings such as monthly safety meetings, project meetings, etc.
Maintain knowledge about fleet management.
Assist with the review of client invoices, weekly reports, and subcontract and work authorizations.
As directed, assists with review and quality control of project accounting and invoicing for work produced by others.
Perform any other related duties as required or assigned.
QualificationsHigh school diploma or (General Education Development) GED and a minimum of 7 years' of related experience and/or training.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts such as fractions, ratios, and proportions to practical situations.
Advanced Microsoft Office (Word, Excel, PowerPoint and Outlook).
Ability to multitask and possess excellent communication, organizational, and judgment skills.
Ability to read and understand instructions, labels, reports, etc.
Ability to effectively communicate information both written and oral and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
Must possess a valid driver's license within the applicable jurisdiction and meet firm's auto insurability requirements.
Able to drive short and long distances.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
