Job DescriptionThe Purchasing Assistant is responsible for assisting the Regional Team in carrying out purchasing and administrative functions including, but not limited to data management and maintenance, new item set up, regional PO creation, cost file accuracy support, category/promo analysis, and the troubleshooting and resolving of all scanning issues or receiving/PO discrepancies and additional assignments and special projects as assigned. The selected candidate will provide support with driving program initiatives while continuously improving the offerings and execution in the department. The Purchasing Assistant will also help ensure the team has excellent working relations with various Whole Foods Market stakeholders including Store Team Leaders, Regional Leadership Team, Global Team, Regional & Global Data, Regional Accounting, and Supplier partners. Appointed sub-team focus is subject to change. The expectation is for the Purchasing Assistant to grow into the Regional Buyer position. This position reports to the Coordinator of the team.
DUTIES:
General Purchasing Support Duties
Work directly with SW Regional Team, Distribution, Brokers, Manufacturers, Importers, Suppliers, Data Teams, Finance Teams, Store and Regional Leaders, Team Leaders/Associate Team Leaders & Buyers and store/regional receiving team partners.
Gather, compile, & crosscheck product information including pricing, UPC numbers, distributor item numbers and other distributor details to ensure accuracy of all pricing, promotions and product data.
Monitor and check to ensure completion of all product recalls.
Provide reports & information including regular and specially requested movement reports and analysis.
Trouble shooting data/scan/cost issues.
Communicate New Item and Promotional information and confirmations to our distributor, broker and brand supplier partners.
PO Administration generate and place purchase orders as directed by regional buyers, request invoices and credits from distributors, as well as PO / POET maintenance.
Maintain POET templates based on store count and % of store sales for Regional allocations.
Assist with other projects as assigned by product Coordinator team.
Category Review Support Duties
Assist in and support the Category Review process including: new item set up, discontinues and de-authorizations, running and filling voids, analyze category data, create presentations, organize samples and information for review, communicate to stores, and coordinate data from suppliers, VIP, and other WFM data bases.
Help discover trends and identify product/category opportunities.
Review category product performance regularly for analysis of programs success/opportunities.
Create and upload regional allocation PO's via POET.
Assist in competitor analysis with potential comp shops, visits, etc.
Perform administrative duties including new item set up and posting pertinent information on Team SharePoint.
Promotions Support Duties
Assist in and support the Promotions Program in the data preparation, development and implementation of spreadsheets, communication, ordering/allocations of product.
Create and upload regional allocation PO's via POET.
Review promotions performance regularly for analysis of programs success/opportunities.
Support Cost Accuracy Initiatives.
Partner with Regional and Global accounting team for Scan back billing & deductions along with off shelf ad fee billing.
REQUIRED:
Intermediate to Advanced Excel software knowledge required
Very strong computer skills including MS word, Outlook, and PowerPoint
Very strong organizational, communication, and presentation skills
Excellent written and verbal communication skills. Ability to effectively present information and respond to questions in one-on-one interaction, meeting/group participation/presentation situations involving Team Members, Team Leaders, Store/Facility Leadership, Regional Leadership, National/Global Leadership.
Ability to effectively manage large volumes of information according to defined parameters and schedules.

Able to travel, if needed, to any metro/store in the Southwest Region, and up to as much as a week at a time, if required
